Rochester, NY · AI & automation for local businesses

Get found. Win the job. Run the place with less of you in it.

Retrofit helps local businesses put AI and automation to work: marketing that keeps moving, customers who get an answer the same day, and less of the week spent on quotes, invoices, and scheduling.

I find the best place to start, build it, and make sure your team can run it. One improvement at a time.

20 minutes. Tell me what's slowing you down or where you want to grow.

The problems

Good work deserves a business that runs better.

You know your business. You also know the things you never quite get to.

Your work is good. Your marketing doesn't show it.

Your website doesn't say what makes you different. Posting gets pushed to next week. Photos, videos, and customer stories sit unused on your phone.

The inquiry came in. The reply came too late.

You were with a customer or out on a job. By the time someone followed up, they'd booked somewhere else.

The quote is still waiting to go out.

The details are in a notebook, a text thread, and someone's head. The estimate takes longer to write than the job took to look at.

The job is finished. The paperwork isn't.

Invoices, payment reminders, schedules, and reports pile up around the work you actually get paid for.

Too much still comes back to you.

Your team needs an answer, a customer needs an update, and next week's schedule is still on your Sunday to-do list.

Retrofit works through these one at a time, starting with the one that's costing you the most.

What I help with

Where I can help

From getting found to getting paid, there are a handful of places where a local business leaks time and work. These are starting points. We pick the one that pays off first.

01Get found

Help the right customers find you, and understand why they should choose you.

  • Website copy and service pages that say what makes you different.

  • A repeatable way to turn one recording into posts, clips, and emails.

  • Your photos, videos, and customer questions put to work instead of sitting on your phone.

  • Local listings kept current, and a simple routine for asking for reviews.

  • Email that keeps you in front of past and future customers.

You keep your voice and the final say. The system keeps it moving.

02Win the job

Make it easier to turn an inquiry into booked work.

  • Missed calls, web forms, and messages get a reply in minutes.

  • Intake that collects the details you need before you call back.

  • Quote drafts built from your pricing rules and the job details.

  • Follow-up that keeps open estimates from being forgotten.

  • Easy booking, and outreach to customers who are due back.

Your team stays in control of pricing, promises, and any conversation that needs a person.

03Run the place

Spend less time keeping everything moving by hand.

  • Scheduling help, appointment reminders, and customer updates.

  • Invoices prepared and payment reminders sent.

  • Routine front-desk questions answered, with a clear handoff when someone needs a person.

  • Reports that put the numbers that matter in one place.

  • Onboarding and searchable "how we do it here" instructions for staff.

  • Your existing tools talking to each other, so nobody retypes anything.

We decide together what runs on its own and what your team reviews first.

Your problem doesn't have to fit a package.

If something takes too much time, loses customers, or keeps landing back on your desk, bring it. We'll work out whether AI, automation, or a simpler process fixes it, and whether it's worth doing at all.

Jake, founder of Retrofit
About Jake

Built by someone who runs a business, too.

I'm Jake. I co-own Captivate Media, a Rochester video production company, and run a weekly media brand. I built the systems that turn our recordings into content and keep the recurring work moving, because nobody had time to do it by hand.

Retrofit brings that to your business. I work directly with you to understand the problem, build the fix, and make sure your team knows how to use it.

You don't need to know which AI tool to buy. You need a clear next step and someone who can put it to work.

How it works

Start with one improvement worth doing.

  1. STEP 01

    Tell me about your business.

    Free 20-minute call.

Tell me where you want to grow, what takes too much time, or what keeps slipping through the cracks.

  2. STEP 02

Find the best place to start.

    If there's a fit.

We take a closer look at the work, the tools you use, and what a better result would be worth. You get a Punch List of opportunities, ranked, with the first one circled.

  3. STEP 03

Agree on the scope and the price.

    Before you pay anything.

One project. One fixed price. One launch date. You'll know what I'm building, what I need from you, and how we'll check that it works.

  4. STEP 04

Build, test, and put it to work.

Live within 30 days of kickoff.

I set it up on accounts you own, test it with the people who'll use it, and show them how it works. If it can't be done in 30 days, I'll tell you before you pay, not after.

  5. STEP 05

    Improve from there.

Once the first one is running.

We look at what changed and pick the next thing on the list.

What you get

What you get

One working system

Built for a problem we agreed on. Not a demo. Not a pilot.

Set up in accounts you control

Every login is yours.

Tested with the people who'll use it

Before launch, not after.

Training

Plus written instructions your manager can read in two minutes.

Approval rules

For anything that goes out in your name, and a handoff for exceptions.

30 days of post-launch tune-up

Real customers find edge cases. I fix them.

Your Punch List, updated

With what to improve next.

Before we begin, we agree on how to judge the result: faster replies, fewer manual steps, more consistent content, or less time spent on quotes. Then we measure it.

Who it's for

For owners who want the business to work better.

Retrofit is a fit if you run an established local business and want more work coming in, a better experience for the customers you have, or less administration behind it all. A practice, a restaurant, a home service company, a shop, anything built around serving customers.

You don't need a technical background or a plan. Bring a real problem and the willingness to work through it.

Not a fit

This isn't a fit if

  • You're pre-revenue.

There's nothing to retrofit yet. Come back when the phone rings.

  • You want a strategy deck, a roadmap, or an "AI readiness assessment."

I don't make those. Plenty of people do.

  • You're hoping to cut half your staff.

These systems do the work nobody is doing. They don't replace the people doing it.

  • You want to "explore AI."

The intro call is for owners with a problem, not a curiosity.

  • You need it approved by a committee.

I work with the person who can say yes.

Pricing

Clear scope. Clear price.

One project, one number, agreed before work begins.

Ongoing support

  • Monitoring, fixes, small changes as your business changes, and a monthly check-in.

  • Starts when the 30-day tune-up ends.

  • Month to month.

  • Cancel with 30 days notice and everything keeps working.

  • New projects are scoped separately.

Ask about support

Any software subscriptions or usage fees are named before you commit. Ongoing content production, if you want it, is scoped separately from building the system that supports it.

Most owners do one project, put it on support, and come back for the next thing on the Punch List.
